  • Business Associate compliance with, and subject to penalties for violations of the HIPAA Security Rule, on February 17, 2010;

  • and Enforcement of the Breach Notification Rule for failure of a Covered Entity and/or Business Associate to provide the required notifications for breaches discovered on or after the enforcement commencement date, February 22, 2010.

The Process: To develop your compliant EHR Policies and Procedures, you must document your existing procedures and practices; understand the requirements and impacts of the HITECH Act of 2009 on your organization and then develop compliant policies and procedures. The Policies and Procedures Manual is a lengthy and complicated document and compliance mandatory.

Preparation and maintenance of you HIPAA security policies is required for compliance with the HITECH Act and you risk loss of your federal funding for noncompliance; there is no time for procrastination.

The EHR Policies and Procedures Blitz (P&P Blitz) is a 2-day event held in April, May and June in Orlando, Chicago and Las Vegas and other cities across the United States. IMC developed the blitz event for those individuals who have been given the daunting responsibility for preparing their Health Centers EHR Policies and Procedures to ensure compliance with the HITECH Act. Our instructors will walk attendees through the preparation process and assist them in leaving the blitz event with a completed Policy and Procedure Manual. Participants gain hands-on experience with the requirements of the HITECH Act of 2009 and the requirements of compliance.

Complete Solution for Community Health Centers

The P&P Blitz offers a complete solution for Community Health Centers required to comply with EHR medical record security, confidentiality and related provisions of the HITECH Act of 2009 and HIPAA.



The EHR P&P Blitz works as follows:
  1. Upon completion of your EHR P&P BLitz registration, IMC will send each registrant explicit, detailed guidelines outlining the information each registrant should gather in advance and bring to the EHR P&P Blitz sessions.
  2. In the event that you have questions concerning the outline or guidelines discussed above, you may contact IMC's consultants by telephone and we will work closely with you to address any issues you have.
  3. Upon arriving at the P&P Blitz, each attendee will be directed to work table where they can setup his or her computer. You will use your computer for the duration of the two-day event. Templates and documentation will be provided to attendees on removable thumb drives that they may keep. At the conclusion of the event, your work product will be made available to you for transport back to your office.
  4. Attendees will be given detailed instructions on preparing their Policies and Procedures Manual. Among other learning tools, attendees will be given detailed templates, examples and case studies to assist in the manual's preparation.
  5. After the instructional presentations, our instructors will walk attendees through a work session during which they will actually prepare their manuals.
  6. Telephones will be available for attendees to call their local offices for additional Health Center information, as needed.
  7. Our instructors will review and critique attendee's manuals during the afternoon of second day of the event to highlight areas of additional emphasis, discussion or training for Health Center staff.
  8. Networking and interaction opportunities will be available for participants to share ideas, best practices and new and different ways to manage operations.
  9. At the conclusion of the event, attendees will download their Policies and Procedures to a CD or USB drive for transport back to their offices.

Expectations

The P&P Blitz Event is not a seminar, a course, or a workshop. Rather, our experienced consultants will lead attendees through an intensive, hands-on working event, the result of which will be that a significant portion, if not all, of your Health Centers EHR Policies and Procedures will be completed by the conclusion of the event. Attendees will be expected to outline and write the detailed policies and procedures that will apply to their clinic's use of an EHR system.

Each attendee's progress on his or her Health Center's Manual will largely depend on, among other factors, (i) the quality and completeness of the Health Center data brought to the event (or obtained by telephone and email from the home office during the event), (ii) the Microsoft Word skills of the attendee, and (iii) the experience level of the attendee.

Price

The price of the P&P Blitz Event is $3,900 per person for the two-day event. Organizations may send up to three (3) individuals; the cost for the 2nd and 3rd registrant from an organization is $1,000.

Other Considerations

Knowledge of the EHR requirements of the HITECH Act of 2009 and HIPPA is not required because of our approach to training and developing you manuals.

Meals: A continental breakfast and lunch will be served daily as part of the event fee.

Consulting: Consulting assistance will be available following the event and will be charged to past attendees at an hourly rate.

Cancellations & Rescheduling

Requests to cancel one's attendance at a seminar or to reschedule to a future seminar date must be received fourteen (14) calendar days prior to the registrant's seminar date. Provided the request to cancel is received with fourteen (14) calendar days advance notice, your registration fee will be refunded less a $1,000 nonrefundable processing fee. Provided the request to reschedule to a future seminar date is received with fourteen (14) days advance notice, you will be rescheduled to a future seminar date provided that you pay the $1,000.00 rescheduling fee. Any cancellations or requests for rescheduling received within thirteen (13) days of the scheduled seminar date will result in forfeiture of the entire seminar fee. All payments must be received prior to the seminar date. Registrants who fail to show for a scheduled seminar will not receive any refunds whatsoever.
